The primary purpose of this position is to perform and support the Foundation's daily financial operations and donor record management by handling bank activity, accounts payable, and maintaining accurate financial and donor records across multiple platforms. It also provides accurate data tracking and reporting through consistent reconciliation, record-keeping, and administrative support.
Essential Duties
Daily Financial Operations by manage daily checking account activity: bank feeds, transaction matching, and ACH reporting. Perform bank deposits and cash reporting.
Responsible for scanning and filing donor and vendor documents, uploading gifts into Raiser's Edge, and maintaining donor agreement binders. Review annual donor statements for accuracy. Keeps Foundation inventory list, donor lists, and mailings to ensure organized and accurate recordkeeping.
Create donor invoices for pledges and maintain account payable list for Foundation events. Supports Data Administrator with gift receipts and uploading documents into Foundation software.
Coding and entering accounts payable invoices into Financial Edge (FE), as well as processing checks, positive pay entries, mailings, and maintaining AP files. Manage vendor setup, ensuring required documentation such as W-9s and 1099s is accurately completed and filed.
Maintaining comprehensive spreadsheets that support donor reporting and track month-end financial entries and reconciliations. This ensures accurate documentation and contributes to timely financial analysis and reporting across Foundation operations.
Assist with monthly bank reconciliations across multiple accounts. Creates journal entries (JEs) in accounting software based on provided documentation, ensuring accuracy and compliance with internal accounting practices, including processing month-end allocations.
Provides responsive support for ad hoc requests, including donor record updates, data cleanup, and miscellaneous tasks from administrative and campus staff.
Minimum Qualifications
Associate's degree or equivalent education in Accounting, Finance, Business Administration, or related field. Degree requirement may be substituted with relevant and equivalent work experience.
1 year in bookkeeping, accounts payable, donor database management or nonprofit financial operations.
