POSITION SUMMARY
We are seeking a professional, organized, and friendly Front Office Administrator / Receptionist to serve as the first point of contact for visitors, clients, and employees, ensuring a professional and welcoming front desk environment. This role is responsible for managing daily front desk activities, providing general administrative support to various departments, and assisting the Safety Department with clerical and organizational tasks.
RESPONSIBILITIES
- Greeting and welcome visitors in a professional and courteous manner.
- Answer, screen, and route incoming phone calls to appropriate departments or individuals.
- Open, sort, and distribute incoming mail and deliveries; prepare outgoing mail and packages.
- Maintain inventory of office and breakroom supplies; place orders and ensure timely restocking.
- Keep the reception area and breakroom clean, organized, and presentable always.
- Assist the Administration Department with various administrative tasks, including data entry and digital record keeping.
- Support the Safety Department with clerical duties, including printing and laminating required job site notices as requested by the Safety Administration teams.
- Ensure operation of copiers and printers by completing preventive maintenance requirements; call for repairs; maintain equipment inventories.
- Support internal communication efforts and company event coordination.
- Perform other duties as assigned to support daily office operations.
QUALIFICATIONS
- 1-2 years of experience in a front desk, receptionist, or administrative role.
- Proficient with Microsoft Office Suite (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Consistent dependability.
- Strong attention to detail and problem-solving skills.
- Excellent time management skills and ability to multi-task and prioritize work.
