What to Expect
The Commercial Service Subcontracting Project Coordinator plays a pivotal role in the progress of Tesla's energy service program. This position will be responsible for managing individual projects through several key phases of the job cycle, including aligning subcontracting costs with forecasted budgets, creating and managing Purchase Orders and Invoices, coordinating site visits for subcontractors, and maintaining project updates and notes. The Subcontracting Project Coordinator also serves as key communicator to the Internal Coordination team, finance, and Asset Managers. This requires a strong background in renewable energy service coordination and an emphasis on commercial energy service. This role also requires strong communication skills and the ability to do various project aspects quickly.

What You'll Do
  • Manage the creation and tracking of purchase orders and invoices under tight deadlines to ensure alignment with project timelines and financial goals
  • Collaborate with subcontractors to schedule approved service work, coordinating with internal teams to deploy Tesla technicians when required for on-site support and help facilitate subcontractor pricing negotiations
  • Oversee job closeout processes, including reviewing subcontractor invoices, verifying deliverables meet quality standards with SMEs, and ensuring timely financial resolution
  • Maintain and update the Service Center Application (CRM) to organize workflows, track progress, and ensure system accuracy for efficient team operations
  • Work with subcontracting management and finance to align PO amounts with forecasted budgets, providing insights to optimize cost efficiency
  • Monitor service-level agreements (SLAs) to guarantee projects advance efficiently and identify process gaps for potential improvements to enhance project velocity and process quality
  • Serve as a point of contact for subcontractor-related project execution, ensuring internal teams are up to date on project statuses, and ensuring accountability for required subcontracting actions

What You'll Bring
  • Bachelor's Degree in Business Administration, Operations Management, Construction, or a related field; OR professional experience in commercial energy operations or energy subcontractor management, or equivalent experience
  • Proven proficiency in coordinating projects in dynamic CRM, PO management and invoice management, and Microsoft Excel
  • Experience coordinating renewable energy or construction service work and invoice reconciliation in a fast-paced environment
  • Self-motivated with a proactive approach to improving systems and workflows. This role has to be highly motivated to organize and update the team project workflow. This attribute is essential to this role, and to the success of the subcontracting team
  • Strong organization and verbal/written communication skills for collaboration with subcontractors and internal teams
  • Ability to problem-solve, prioritize tasks, and adapt processes to meet dynamic business needs
  • Familiarity with commercial construction standards, service operations, or energy storage systems is a plus
