Job Summary

Paradise Valley Community College (PVCC) is seeking an Administrative Specialist Senior who provides high-level administrative support to a collaborative team, serving as a key point of contact for staff and faculty while also managing behind-the-scenes operations, as well as answering level-one questions on Maricopa Systems and processes. This position involves coordinating schedules and calendars, assisting with event logistics, and supporting purchasing and budget tracking as needed. The role requires strong communication and organizational skills, as it balances customer service with internal administrative functions. Working in a high paced, team-oriented environment, the Administrative Specialist Senior helps ensure the smooth and efficient operation of the department. To best serve the students, department, and college, this position requires a physical presence on campus.

Essential Functions

25% Administrative and Team Support

Collaborate with team members to support shared office goals through scheduling, calendar coordination, document preparation, and communication tracking. Take initiative to streamline office processes and follow through on assigned tasks.

20% Customer Service and Stakeholder Engagement

Serve as the first point of contact for internal and external stakeholders, responding to inquiries in a professional and welcoming manner. Provide consistent, high-quality customer service to faculty, staff, and guests while supporting a positive and inclusive office environment.

15% Event Planning and Coordination
Assist with the planning, promotion, and execution of department events. Responsibilities include creating flyers or other promotional materials, managing logistics, coordinating registrations, and supporting on-site needs.

15% Purchasing and Inventory Management
Manage supply orders and inventory levels by researching cost-effective purchasing options and tracking expenditures to remain within budget. Work with vendors and the district's purchasing systems to ensure timely procurement.

15% Data Collection and Reporting
Gather, organize, and summarize data related to event participation, evaluations, and project tracking. Use spreadsheets or databases to prepare reports for internal use and leadership decision-making.

10% Assists with Special Projects as needed for the Department
Perform additional administrative tasks or support projects as needed to ensure smooth department operations.

Minimum Qualifications

Associate's Degree from a regionally accredited institution and two years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

1. Five or more years of experience with excellent customer service skills, across multiple platforms including in-person interactions, virtual communication (email, chat, video conferencing) and phone support with a professional and welcoming demeanor.

2. Three or more years of experience working collaboratively within a team environment (in-person interactions, virtual communication (email, chat, video conferencing), and phone support with the ability to take initiative, follow through on tasks, and support shared office goals.

3. Three or more years of experience with event planning and coordination, including creating promotional materials using Microsoft Office, Google Suite, or other technology tools, managing logistics, and tracking attendance or feedback.

4. Three or more years of experience with online purchasing, cost comparison and value analysis, including tracking office supplies, managing inventory, and working within a defined budget.

5. Two or more years of experience collecting, organizing, and summarizing data, such as participation metrics, event evaluations, or project progress for reporting purposes.

6. Two or more years of experience with office productivity tools, including Microsoft Office (Word, Excel, PowerPoint) and/or Google Workspace (Docs, Sheets, Forms, Drive).
