The Opportunity:

UCF's College of Graduate Studies seeks applicants for an Administrative Assistant II. The Administrative Assistant II will work with the Office of Graduate Student Services, reporting to the manager. This position will provide administrative support to the entire team by triaging student phone calls, walk-ins, and emails. The Assistant II will address questions; schedule meetings with an academic evaluator or coordinator for more in-depth questions; and alert the manager or associate dean when the student has an emergency situation to address. The Administrative Assistant II will also compile sensitive medical information for review in medical withdrawal requests. In addition, the Administrative Assistant II will perform commencement-related tasks and attend commencement to assist with the ceremony.

Responsibilities:


  • Serve as primary contact for questions about academic services, academic progress, and graduation for students who walk in, call, or email the College of Graduate Studies. Utilize knowledge of graduate policy and student records to answer questions or escalate as applicable. Keep up with changes to graduate policy and how the updates impact student records. Work as a liaison with academic evaluators, coordinators, and other departments for complicated student issues and escalates emergency situations immediately to the manager or associate dean. Possess discretion to make decisions for proper routing of the different types of issues and how to provide the most effective customer service. Maintain a student call log and follow up as needed to make sure that all questions are answered in a timely manner.

  • Manage the Graduate Services inbox shared email address by responding to emails, filing emails into the proper location, and downloading documents as needed for review. Create dates/deadlines list for each semester and tracks deadlines accordingly.

  • Assist with commencement-related activities, such as creating and checking commencement program lists, confirming hooding advisors, and confirming RSVPs. Attend commencement ceremonies to assist with the hooding ceremony and diploma cover distribution.

  • Respond to student requests for medical withdrawals with the appropriate information and forms. Compile sensitive medical information in an appropriate manner for the manager to review. Communicate decisions and place holds on students' accounts.

  • Other duties as assigned.


Minimum Qualifications:

High School Diploma or Equivalent and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications:


  • 2+ years' professional experience in an administrative or office support role.

  • Experience working in higher education in a student or professional staff position.

  • Strong customer service mindset.

  • Bachelor's degree.

  • Experience with PeopleSoft or similar ERP systems.

  • Proficient with Microsoft Office Suite.


Special Instructions to the Applicants:

This position may be eligible for a hybrid work schedule after an initial training period. Hybrid work approval is dependent upon work duties, department and university policies, and supervisor approval.

The anticipated hourly rate for this position is $20.00 to Negotiable. The final salary will be determined based on the candidate's qualifications, experience, and internal equity considerations.
