About the Job This position provides grant support to faculty in the Department of Medicine. The position reports to the Pre-award Manager and allows for either hybrid or remote work.
Responsibilities/Duties: The Grants & Contracts Professional 3 will support faculty in the Department of Medicine and work closely with the rest of the Pre-award team. Strong communication skills and the capacity to work both independently and as part of a team under tight deadlines are important attributes for this position. Top priorities will include managing the grant proposal process, supporting grant development tools, and process improvement feedback.
85% Grant Proposal Preparation and Award Management -Manage the proposal preparation and submission process from initial development through point of award for an assigned group of investigators including faculty and other investigators. -As a grant coordinator, manage proposals and identify pre-award resources needed for these proposals; develop and oversee submission plans. -For each proposal submission, responsibilities include: review sponsor's request for proposals; prepare timelines for submission; prepare administrative portions of the proposal; obtain subaward documentation; finalize all parts of the proposal; liaise with departmental and collegiate administration and Sponsored Projects Administration (SPA) throughout the submission process; and communicate with the sponsor as needed. -Create FP and ensure grant budgets for all proposals submitted through the University that involve the resources, space, faculty, or staff from the Department of Medicine are accurate. Understand the basis of each of the FP questions, ensure responses are accurate and appropriate, and identify all required signers. -Manage application forms for proposals and awards, using sponsor systems such as ASSIST, grants.gov, research.gov, ProposalCentral, etc. -Understand and communicate sponsor and University requirements and/or restrictions regarding PI/staff eligibility, cost sharing, F&A sharing, budget limitations, other sponsor requirements and award terms. Communicate these requirements to PIs and other stakeholders. Proactively identify potential issues, use knowledge to interpret gray areas, identify solutions, and make recommendations. -Manage the non-financial aspects of award setup and management, including submission of Just in Time information, other post-submission materials, and interim and final progress reports.
Compliance and Administration - 10% -Keep accounting personnel informed about issues relevant to proposals and awards. Work closely with accounting personnel to ensure an efficient transition from pre-award to post-award phase. -Maintains databases and systems for recording and tracking grant proposals and awards. -Update and prepare other support documents for faculty for Just-in-Time Requests from funding agencies, prime institutions, and other UMN collaborator proposals upon request. -Participate in grants administrative duties as assigned which may include monitoring and triaging a centralized team email inbox, processing intake forms, maintaining a calendar of grant activity -Develops a strong working knowledge of university and federal regulations, policies, and procedures related to and impacting grants management and serves as an expert to faculty and staff. -Continued professional development by attending relevant courses, workshops, seminars, professional society meetings and other training opportunities, and attending necessary and appropriate University training.
Research Development - 5% -Analyze grant activity in the division and prepare reports as requested by department leadership. -Develop resources for faculty and contribute to templates and job aids to make the submission process consistent and efficient for all faculty.
Qualifications

Required Qualifications: -Bachelor's degree and four years of professional experience or a combination of related education and work experience to equal eight years. -Experience performing administrative, budgetary, or grant-related duties. -Experience in technology and software as related to the needs of the position (e.g., Word, Excel, Adobe, Google suite, etc.). -Ability to simultaneously work on multiple projects with fixed deadlines and ability to re- prioritize tasks as needed to successfully meet all deadlines. -Excellent verbal and written communication skills. -Effective problem identification and problem solving skills.
Preferred Qualifications: -Experience working with sponsored projects, especially with federal sponsors. -Experience in an academic environment. -Knowledge of University policies and procedures. -Experience with electronic systems such as ASSIST, research.gov, Proposal Central and other grant management (e.g. MN-GEMS), sponsor grant databases (e.g. NIH RePORTER) and funding opportunity databases (e.g. PIVOT) or University of Minnesota financial systems. -Excellent team member skills and the ability to effectively interface with all levels of the organization (students, staff, faculty, central administration). -Ability to work independently with a high level of initiative, accountability, and follow- through on complex and sensitive issues. -Demonstrated commitment to promoting a diverse, inclusive, and respectful workplace.
Pay and Benefits
Pay Range: $73,000 - $85,000; depending on education/qualifications/experience Time Appointment Category: 75%-100% Appointment (If job description above does not specify appointment or expected weekly hours, assume a 100% appointment.)
