Lead Rehab Assistant
Schedule: Full-Time Day Shift
Position Summary:
The Lead Clerical Coordinator oversees the front office operations of busy physical therapy
clinics. This role ensures smooth day-to-day administrative functioning, supports
therapists and staff and delivers outstanding customer service to patients. The ideal
candidate is organized, detail-oriented, experienced in healthcare office management, and
capable of working and providing leadership to a small clerical team.
Key Responsibilities:
Front Desk Management
o Oversee and participate in daily front desk operations, including patient
check-in/check-out, scheduling, and insurance verification.
o Ensure efficient phone and email communication with patients, providers,
and third-party contacts.
o Greet patients and maintain a welcoming and professional front office
environment.
Team Leadership
o Train, and mentor clerical staff.
o Input into creating and maintaining staff schedules to ensure adequate front
desk coverage.
o Serve as a liaison between front desk staff and clinical team.
Patient Coordination
o Monitor scheduling to optimize provider availability and patient flow.
o Manage appointment reminders, follow-ups, and cancellations.
o Address and resolve patient concerns related to scheduling, billing, and
general inquiries.
Administrative Duties
o Ensure accuracy of patient records, insurance information, and
authorizations.
o Coordinate with billing and collections departments as needed.
o Maintain clinic supplies and coordinate ordering of office materials.
Compliance and Reporting
o Maintain HIPAA and OSHA compliance for all front office operations.
o Generate reports related to patient visits, scheduling, and clerical
productivity.
o Assist in audits or quality assurance processes.
* High school diploma or equivalent (associate or bachelor's degree preferred).
* 3+ years of experience in a medical office setting, preferably in physical therapy or
rehabilitation.
* Prior leadership experience strongly preferred.
* Proficient in electronic medical records (EMR) and scheduling systems.
* Strong communication and interpersonal skills.
* Ability to multitask, prioritize responsibilities, and solve problems independently.
* Knowledge of insurance verification, authorizations, and basic billing processes.
