The Windows + Surface Marketing team is looking for an Executive Business Administrator to support two General Managers and their respective teams. This position will require initiative, good judgment, the ability to set priorities and handle multiple teams and tasks simultaneously. Highly motivated individuals who are diligent and passionate about quality customer service are encouraged to apply. The ideal candidate will be positive, proactive, detail oriented and have an open mindset. This person will demonstrate drive and initiative as well as the ability to adapt to changing circumstances. The person should be resourceful and able to solve routine problems effectively as well as prioritize their own work and complete projects on time. Being detail oriented and having consistent and timely follow-through will be essential for success in this role. ResponsibilitiesCalendar Management: Provides strategic calendar management and time planning support for two GM Leaders, aligning schedules based on respective Leader's priorities and commitments. Resource Management: Manages discretionary budget for morale, travel and training, providing adhoc reporting as needed Partners with Finance to own expense management, purchase orders (POs), statements of work (SOWs), expense tracking, and policy compliance. Will serve as interim approver for finance approvals. May perform vendor and supplier management, including ensuring they are set up for financial processing. Rhythm of Business (ROB): Understands and helps leaders and direct managers to implement rhythm of business (ROB). Creates, builds, and adjusts plans within areas of responsibility in partnership with our Business Support Team. Prepping and driving weekly leads meetings and monthly team huddles. Project Ownership: Balances multiple projects end to end with varying deadlines, while maintaining executional and operational excellence within the business and across business groups as applicable. Streamlines and understands processes, provides process improvements, and adjusts as needed. Discipline Growth and Development: Provides leadership within the discipline and participates in the Business Support community. Contributes to their organization's culture. Engages in career development and training. Identifies and aligns growth opportunities for self and team. Develops and shares best practices and insights. Supports team building. Leadership: Leads by example and serves as a role model to managers and teams with a professional attitude, while demonstrating executive presence, influencing others, and encouraging self-reflection during challenging situations. Team Management Support Headcount, Onboarding/Offboarding: Manages onboarding activities (e.g., ordering new-hire equipment, distribution lists, security groups) and provides support to new employees, vendors, and interns as an essential contact for questions and company information. Connects new hires with the right stakeholders. Manages headcount in collaboration with Executive Admin and Chiefs of Staff including transfers/departures, reporting, offboarding, and transactions within headcount management tools. Works in partnership with Finance and team members to provide up-to-date headcount figures. Event Coordination and Logistics: Owns end-to-end morale event coordination. Proactively drives actions needed to successfully plan for and ensure event outcomes. Engages in post event close out (e.g., tracking budget and event results/attendance). Cross Functional Collaboration: Build, strengthen and leverage networks across the organization to enable their teams to work. Gather information from partners across organizations to prepare key stakeholders to distribute information to their teams. Communicate with both internal and external partners.
