The Subaward Specialist within the Office of Research Administration is responsible for ensuring compliance with federal regulations and institutional policies regarding subrecipient monitoring. This role provides oversight of subawards, ensures compliance with applicable requirements, and mitigates risk to the organization. The analyst will work collaboratively with Principal Investigators (PIs), the divisions within the Research Administration Office, and other stakeholders to facilitate effective subaward management and adherence to grant regulations.

Essential functions: Subrecipient Compliance and Documentation: Identify and communicate Federal award information, applicable compliance requirements, and flow-down provisions to subrecipients in accordance with * 200.332 Requirements for pass-through entities; Ensure subrecipient proposals and subaward documents have appropriate approvals from authorized officials; Certify the eligibility of subrecipients using SAM.gov and verify that subrecipient or Principal Investigators are not debarred or suspended from receiving Federal funds. Risk Assessment and Mitigation: Conduct risk assessments for subrecipients and recommend additional conditions in accordance with * 200.208 Specific conditions; Collaborate with PIs and Grants and Contracts teams to develop strategies for mitigating subrecipient risks; Coordinate the vendor-subaward determination process. Monitoring and Oversight: Conduct annual reviews of all active subawards requiring monitoring, including requesting and reviewing audit certification letters for subrecipients expending $750,000 in Federal funds annually; Verify that subrecipient compliance documentation and processes are adequately addressed; Monitor fiscal compliance and assist with award closeout, audit preparations, and site reviews. Communication and Advisory: Coordinate subaward management on behalf of the institution, providing guidance to stakeholders on their responsibilities related to subaward compliance; Advise PIs on subaward issues or deficiencies that pose a compliance risk or reputational harm to the institution; Inform Research Compliance of any apparent conflicts of interest and compliance concerns. Financial and Invoice Management: Process subrecipient invoices for timely payment within 30 calendar days of receipt of proper documentation; Provide financial reporting and oversight of subrecipient fiscal activities to ensure alignment with federal and institutional standards. Training and Knowledge Sharing: Develop and help to deliver training programs to educate stakeholders on subaward management responsibilities and compliance requirements; Contribute to the creation and maintenance of a knowledge management system to support research administration.

Required Education & Experience:
Bachelor's degree, and at least five years of related research administration experience. An equivalent combination of education and experience may be considered.

Required Skills & Abilities:
*Demonstrated ability to utilize online financial systems.
*Demonstrated computer skills, and advanced proficiency with MS Office Suite, including advanced spreadsheet and database software skills.
*Demonstrated analytical skills, and ability to work with large financial data sets.
*Excellent communication, customer service and interpersonal skills, along with the ability to interact with a diverse constituent population.
*Demonstrated organizational and prioritization skills, along with the ability to be task- and detail-oriented. *Strong understanding of Sponsored Projects and Research Administration.
