Manager of Blood Drive Scheduling Newark, DE In 1954, the Blood Bank of Delmarva was established in the Delmarva region as a private, not for profit agency to collect, test, and distribute blood products. Today, the Blood Bank of Delmarva is a division of New York Blood Center and is among the nation's premium providers of blood products and services and an integral part of the Delmarva community's health care system. As of October 2019, the Blood Bank of Delmarva employs approximately 175 full- and part-time employees. Responsibilities
This position reports to the Director of Donor Recruitment. The Manager of Blood Drive Scheduling has responsibility for the management of the blood drive calendar, operational processes, department reporting systems, sponsor database and other related mobile marketing and communication efforts. Interfaces with all levels of Donor Recruitment staff and site coordinators. Essential Functions:
Responsible for planning, organizing, maintaining, updating, and managing the blood drive account database and calendar to ensure strategic scheduling of blood drives.
- Manages the communication of calendar updates/changes to all affected departments via daily change log
- Works directly with Account Managers and the Donor Services team to evaluate existing operational guidelines and to identify, develop, implement, and maintain operational guidelines.
- Manages and updates blood drive accounts "cycle" information in conjunction with the account managers. Includes but not limited to daily, weekly, monthly, and annual plans to exceed/maintain budgeted goals and maintain accurate projection goals.
- Assists the Recruitment team with mobiles marketing outreach such as mobile emails, text messages, social media requests, mobile drive flyers, and press releases as needed.
- Maintains tracking lists for Donor Recruitment team including high school scholarship tracking, mobile drive incentives tracking, mobile projections, online leads, and similar lists.
- Develops, prepares, evaluates, and maintains accurate information on reports and systems related to collection of budgeted goals, incentives, and site suitability feedback from the field. Reviews daily account planning activities to identify and resolve issues effecting achievement of daily collection goals and services.
- Confers with managers of all departments to organize and establish continuing internal communication using the weekly Calendar meeting to ensure achievement of collection goals and obtain greater efficiency.
- Routinely reviews mobile drive schedules for accuracy and efficiency.
- Trains employees in proper use and best practices in Hemapshere and Hemaconnect.
- Cross training to provide back up for Account managers or vacant territories
Non-Essential Functions:
- Adheres to all BBD policy/guidelines and procedures involving submission of all necessary reports according to prescribed time frames.
- Maintains professional communications with co-workers, sponsors, donors, and all BBD departments. Promotes Donor Resources Department mission statement in all activities.
- Performs other duties as assigned including organization and tracking of giveaways, which may require lifting and bending.
Qualifications
EDUCATIONAL REQUIREMENTS:
- Bachelor's Degree required.
- Knowledge in one or more of the following areas: sales, public relations, healthcare operations, education, fund-raising, management, and marketing.
- 5 years of directly related experience in Administration, scheduling, production planning, data analysis or closely related field.
EXPERIENCE/QUALIFICATIONS:
- Must be organized, detail oriented, possess strong follow-up skills and have the initiative to work independently in a fast-paced environment.
- Must be able to multi-task in a fast-paced environment.
- Must have the ability to work effectively with a variety of people to maintain professional public relations through excellent verbal and written communication skills.
- Requires planning, interpersonal, and analytical skills.
- Possess problem solving and time management skills and have the capacity to function successfully in a team environment.
- Ability to work flexible hours as needed.
COMPUTER SKILLS:
- Demonstrated working knowledge of Microsoft Suite including presentation, spreadsheets, word processing, database management and scheduling applications required.
