The Senior Administrative Assistant will play a pivotal role in handling various administrative tasks and providing administrative support to two Senior Vice Presidents and their greater organizations. Your experience and expertise will be instrumental in managing complex schedules, coordinating projects, and ensuring seamless communication across departments. Responsibilities include but are not limited to:
- Provide high-level administrative support to assigned leaders, managing calendars, scheduling appointments, and coordinating meetings to optimize their time and productivity, including coordination with global leaders and TET members
- Act as a key liaison between the senior management team and other departments, facilitating clear communication and ensuring that critical information is conveyed promptly and accurately
- Prepare, review, and edit important documents, reports, and presentations with attention to detail and adherence to organizational guidelines
- Assist in organizing and executing departmental projects and initiatives, coordinating tasks, deadlines, and resources to ensure successful completion
- Handle sensitive and confidential information with utmost discretion, maintaining confidentiality and safeguarding privileged data and documents
- Coordinate domestic and international travel arrangements for executives, including flight bookings, hotel reservations, and itinerary planning, ensuring a seamless travel experience
- Collaborate with the finance department in managing budgets, tracking expenses, and processing invoices to maintain accurate financial records
- Manage incoming communication, including emails and phone calls, and provide timely and professional responses on behalf of assigned leaders
- Proactively identify operational inefficiencies and propose effective solutions to streamline administrative processes, improving overall efficiency
- Mentor and provide guidance to junior administrative staff, fostering their professional growth and contributing to a cohesive team environment
Basic Qualifications:
- High School Diploma or equivalent level of education
- Minimum of 5 years of experience as an administrative assistant
- Proficiency in using office productivity tools such as Microsoft Office Suite, with advanced skills in word processing, spreadsheet management, and presentation software
- Exceptional organizational skills, with the ability to prioritize tasks, handle multiple projects simultaneously, and meet deadlines in a dynamic work environment
- Excellent written and verbal communication skills, enabling effective interaction with executives, colleagues, and stakeholders at all levels
- Strong problem-solving abilities, with a proactive and resourceful approach to resolving challenges and finding innovative solutions
- Demonstrated ability to maintain confidentiality, exhibit tact and diplomacy, and handle sensitive information with discretion

Preferred Qualifications:
