Description The Scientific Core Services coordinator supports the use and administration of centralized shared scientific core facilities, catering to Children's National investigators and affiliated research groups. Supporting the Scientific Core Directors includes but not limited to maintaining core management software, coordinating meetings including advisory meetings, maintenance of web pages, and developing draft reports. The coordinator will assist in the monitoring and implementation of a cost-effective budget and will support assigned projects.
Qualifications

Minimum Education
Associate's Degree in Business, Health Administration, Science (Required)
Bachelor's Degree Relevant experience beyond the minimum required work experience may substitute for the educational requirement on a 1-to-1 ratio ( i.e. one year of relevant work experience equals one year of required education) (Preferred)

Minimum Work Experience
1 year Related experience, preferably in healthcare field. (Required)

Research and/or research administration experience in an academic biomedical research organization.

Dynamic personality with a high level of interpersonal skills in order to deal effectively and persuasively with all levels of an organization.

Strong time-management and organizational skills to coordinate multiple projects at once.

Ability to prioritize workload while considering changing needs, set deadlines independently and complete projects effectively.
Understands, supports and adheres to regulations governing sponsored program administration.
Adherence to the highest ethical standards working with sensitive information with absolute discretion.

Functional Accountabilities
Responsible Conduct of Research



  • Consistently demonstrate adherence with the standards for the responsible conduct of research.


  • Responsible for appropriate use of research funds and resources.


  • Comply with all annual job-related training requirements.


Program Administration



  • Assists Core Director with operating budget, pricing review, and capital budget requests.


  • Maintains core management software system. Ensures that all cores utilize software to track and bill activities. Facilitates the set-up of new cores as needed.


  • Ensures all cores meet regularly with scientific advisory boards to evaluate their scientific impact.


  • Assists in the operations management of equipment.


  • Leads, facilitates and/or participates actively on assigned project teams; ensures complete and accurate minutes; facilitates follow-through for action items.


  • Ensures ongoing updates of the core facility web pages.


  • Provides assistance for administrative operations for affiliated research groups, with a focus on facilitating external user agreements and setting up purchase orders.


  • Independently, stays abreast of all applicable Uniform Guidance Requirements and Federal regulations.


  • The employee may be required to perform duties beyond those listed as directed by their supervisor or management. These duties may vary depending on the needs of the department or organization.


  • Supports Core Directors in the development of annual report(s) for the core facilities.


  • Takes on special projects to assist with the financial management of core facilities.


  • Coordinates and schedules office appointments, meetings and conferences with other CNMC departments and external customers; answer, respond, take and distribute messages of incoming phone calls; open and distribute mail and special delivery packages for Director and/or Managers; create productive relationships with key Staff in identified departments


  • Manages relevant databases and promote security of information; develop and maintain systems to ensure confidentiality and integrity of staff records in compliance with hospital policies, procedures and standards.


  • Contributes to the development of policies, procedures and systems that assure the effective functioning of the unit; assure that information for billing and reporting is accurate, consistent and complete; produce and maintain management data related to operational needs and projects.


  • Develops and participates in projects to enhance operations; assist, as needed, with coordination and completion of projects related to department operations.
  • Participates in strategic planning and develop quality improvement programs to enhance efficiencies, reduce costs and consistently improve customer service.
