Position Highlights |
University Facility Services at the University of Arizona is looking to fill one Administrative Support Assistant position, which is also known as a Work Control Dispatcher. This position is responsible for using multiple software/tools to route maintenance emergencies for the Campus and outlying properties. Dispatchers must effectively communicate and serve as the liaison between Facilities Management and customers. A Dispatcher must remain agile, be ready to handle sudden issues, and follow up with all stakeholders. A successful candidate for this position needs to be able to adjust to last minute changes, work with a variety of customers to ensure proper routing, and follow up on completed repairs. In a fast paced environment they demonstrate a positive attitude while providing excellent customer service. Must have strong communication, phone, organizational, and writing skills. Duties & Responsibilities |
- Provide superior customer service while serving as the communications and information center contact for Facilities.
- Management Maintenance Department.
- Process a wide variety of requests for service in a timely and accurate manner.
- Maintain and process daily logs.
- Process calls and dispatch personnel through use of landlines and cell phones.
- Work independently using knowledge, judgment, and experience.
- Draft memos, letters, and various correspondences.
- Perform other clerical support as assigned.
Knowledge, Skills, & Abilities:
- Knowledge of craft technical terms and function of each craft, including emergency situations.
- Excellent organizational and time management skills.
- Ability to operate a variety of office machines.
- Ability to communicate effectively in a team environment.
- Ability to maintain attention to detail.
- Ability to organize work to meet deadlines and assist others at peak times.
- Excellent customer service skills.
- Familiarity with maintenance, mechanical, and construction terminology.
- Computer skills at the intermediate level including word processing, Excel and Access.

Minimum Qualifications |
- High school diploma or equivalent, or equivalent learning attained through experience required.
- Minimum of 3 years of relevant experience, or equivalent combination of education and work experience.

Preferred Qualifications |
- Dispatch experience.
- Experience with computer programs including Microsoft Office, Microsoft Word, Excel, Access, and Project.
- Data entry experience.
- Prior experience in a University setting.
- Prior experience with large interactive databases (ex. FIMA, PeopleSoft).
- Bilingual in English and Spanish.
