Overall Purpose

The Intellectual Property (IP) Specialist is responsible for managing, docketing, and reviewing the organization's intellectual property portfolio. This position maintains accurate records of patents, trademarks, copyrights, and trade secrets, ensuring all deadlines are met and activities are tracked in the IP docketing system. The IP Specialist executes and improves the enterprise-wide IP strategy, conducts legal research as needed, and manages the organization's patent or trademark portfolios.

Essential Functions

  • Manages and updates the IP docketing system to track important deadlines for patents, trademarks, copyrights, and other intellectual property matters.

  • Ensures all filings, renewals, and actions related to IP are completed on time and in compliance with legal requirements.

  • Maintains and organizes the company's IP portfolio, including patents, trademarks, copyrights, and trade secrets.

  • Conducts regular audits of the portfolio to ensure its completeness, accuracy, and alignment with business goals.

  • Conducts and monitors internal review of IP risks in connection with any AI use case requests.

  • Drafting, editing, and preparing standard forms needed for filing with intellectual property offices.

  • Works closely with the legal, technology, and product teams to help identify new inventions, products, or branding elements for potential IP protection.

  • Performs research on a variety of IP topics, analyzes data, and prepares formal or informal reports on findings.

  • Provides administrative support for IP-related initiatives and legal matters across departments.

  • Monitors IP-related activities to ensure compliance with company policies and applicable regulations.

  • Generates periodic reports on IP portfolio status, upcoming deadlines, and status updates.

  • Supports the company's commitment to risk management and protecting the integrity and confidentiality of systems and data.

Minimum Qualifications

  • Education and/or experience typically obtained through completion of a Bachelor's degree in a relevant sector such as science, technology, engineering, or mathematics (STEM).

  • A minimum of 2-3 years of experience in intellectual property management or related legal/administrative role, preferably with a corporate or law firm environment.

  • Advanced Certified Paralegal certificate in Intellectual Property law OR registered patent agent with the USPTO is required.

  • Familiarity with the patent, trademark, and copyright application and prosecution processes is required.

  • Basic understanding of intellectual property procedural rules, including patents, trademarks, copyrights, and trade secrets.

  • Knowledge of IP docketing systems and tools for tracking deadlines and managing IP portfolios.

  • Understanding of IP compliance and best practices for maintaining and protecting intellectual property assets.

  • Strong attention to detail, with the ability to manage multiple tasks and deadlines accurately.

  • Excellent organizational and time-management skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

  • Ability to communicate effectively, both orally and in writing.

  • Ability to work independently and proactively in a fast-paced environment.

  • Strong ability to prioritize tasks and manage competing deadlines effectively.

  • Ability to maintain confidentiality and manage sensitive information with discretion.

  • Background and drug screen.

Preferred Qualifications

  • Experience with IP docketing software and portfolio management systems is highly preferred.

  • Familiarity with global IP filing procedures and regulations is a plus.

  • Intellectual Property paralegal experience is highly preferred.

Physical Requirements

Working conditions consist of a normal office environment. Work is primarily sedentary and requires extensive use of a computer and involves sitting for periods of approximately four hours. Work may require occasional standing, walking, kneeling, and reaching. Must be able to lift 10 pounds occasionally and/or negligible amount of force frequently. Requires visual acuity and dexterity to view, prepare, and manipulate documents and office equipment including personal computers. Requires the ability to communicate with internal and/or external customers. Employee must be able to perform essential functions and physical requirements of position with or without reasonable accommodation. The base pay scale for this position in:

Phoenix, AZ/ Chicago, IL in USD per year is: is $40.85-$43.25/hour or $85k-$90k annualized.

Additionally, candidates are eligible for a discretionary incentive plan and benefits.
