Job Purpose

To enhance organizational efficiency and support strategic initiatives by optimizing executives' business unit activity, operational processes, and facilitating cross-functional collaboration strengthening PS&P positioning.

Key Accountabilities

  • Engages in Cross Divisional Teamwork/Support Operations Improvement Themes (cross divisional meetings, office events, newsletters, associate engagement activities)

    • Process Improvement - identify and implement process enhancement to increase efficiency, productivity, and associate engagement.
    • Project Coordination - oversee and manage special projects, ensuring timely completion and alignment with organizational goals.
    • Cross-functional collaboration - work closely with other departments to ensure seamless operations and communication.




  • Organize BU Level Business Activities (BRM, BIM, Global Strategy Meeting, Yamagomori, Townhall meetings, Steering Committee, etc.) organize presentation material from various sites.

    • Manage executive schedules - coordinate and prioritize appointments, meetings, and travel arrangements.
    • Communication liaison - act as the primary point of contact between executives and internal/external stakeholders.
    • Document preparation - draft, review, and distribute executive communications, reports, presentations, and meeting minutes.




  • Predicts business needs and do proactive planning (Operational calendar, meeting scheduling, provide overall office administrative function in the ALP facility) for smooth operations.

    • Manage meetings: Organize and lead team meetings, agenda preparation and follow-through on action items.
    • Resource allocation: Optimize the use of departmental resources, including budget management and procurement.
    • Seamless Onboarding/Offboarding: Effectively organize the onboarding of new team members for enhanced experience. Proactive and effective planning to ensure ease of access to equipment, shared folder, etc. for seamless experience. Organize offboarding processes in an effective and timely manner to ensure compliance.



Qualifications, Experience, and Skills

  • Associate degree in Business Administration or similar field
  • 5 years of administration or operations experience (w/ degree)
  • 10+ years of administration or operations experience (w/o degree)
  • Great interpersonal skills (able to interact with all levels within organization)
  • Excellent communication skills (oral and written skills)
  • Strong knowledge of MS Office (Excel/PowerPoint/etc.)
  • Able to manage confidential information with confidence
  • Good business acumen
  • Notary Public is desirable, but not required
  • English/Japanese Bi-lingual is desirable, but not required

Working Conditions

  • Primarily desk work with some light duty physical activity
  • Expectation is 80% onsite to serve the daily needs of top leadership
  • Minimal travel
  • Overtime as needed
