JOB DESCRIPTION AND POSITION REQUIREMENTS:

Penn State Extension in the College of Agricultural Sciences at The Pennsylvania State University seeks an organized and detail-oriented person to serve as our Financial Associate. This position will support the business of two Extension affiliated programs, including the Pesticide Education Program (PEP) and the Center for Agricultural Conservation Assistance Training (CACAT), with approximately 25 staff to support on those teams.

The successful candidate will closely coordinate with administrative support staff and grants and contracts staff associated with these programs to support the growing number of faculty, staff, and students working in the agricultural conservation and pesticide safety fields. Duties for this position include but are not limited to the following:

  • Prepare and process various reports, orders, and financial forms through the SIMBA & SAP Concur systems, including helping new vendors get established in the PSU system.

  • Assist and ensure the timely reconciliation of purchasing card transactions.

  • Arrange and process travel reimbursements in SAP Concur for employees, students, volunteers, and visitors while adhering to university policies and procedures and funding source spending guidelines.

  • Process purchase orders through Shop OnLion/PSUBuy and various punch-out catalogs. Monitoring goods confirmations and managing procurement invoices.

  • Assist in preparing and reconciling finances for various events and activities held by the three programs.

  • Budget and pull expense reports from SIMBA, update budget spreadsheets in coordination with Proposal and Awards Generalists.

  • Use a credit card terminal to receive payments at events adhering to PSU policies.

  • Support Extension Program Managers regarding submitting Extension projects/grants.

  • Attend weekly or monthly team meetings for these programs, plus the Extension Finance Office, virtual and in-person as needed.

  • Support the PEP and CACAT teams with administrative tasks when a whole team effort is needed.

  • Minimal support for in-person events that may require, rarely, travel within Pennsylvania.

This full-time, limited-term position offers a hybrid flexible work arrangement that combines remote and on-campus work at the University Park campus in State College, PA, and reports directly to the CACAT and PEP Program Directors. Education & Experience Requirements

  • This position will be filled at the Intermediate Support level. A High School Diploma or higher plus 2 years of related experience or an equivalent combination of education and experience is required.

The successful candidate will have:

  • Strong organizational skills with the ability to manage multiple tasks simultaneously.

  • Excellent customer service skills, focusing on providing supportive and responsive service to departments.

  • A team player committed to creating a positive and efficient working environment.

  • Knowledge of SAP Concur, Shop OnLion/PSUBuy, SIMBA, and other PSU or equivalent financial systems is highly desirable.

$38,300.00 - $55,500.00
