Job Summary

GateWay Community College is now hiring a great new role! This position provides a variety of moderately difficult accounting and administrative support services to the College Business Services Department. Support services include processing, reconciling, and correcting a wide variety of accounting documents such as invoices, employee reimbursements, cash receipts and journal vouchers; preparing and processing or assisting with third party contracts, reporting, and processing refunds for financial aid disbursements. The person hired into this role will also provide support to the other GateWay Business Services locations as needed.

Essential Functions

40% - Provides customer service to a diverse population including students, faculty, and staff through the Student Business Services (SBS)'s front-line, email, and phone. Processes, reconciles and corrects a wide variety of accounting documents including invoices and journal vouchers; interprets and communicates policies and procedures

35% - Reviews and monitors student accounts for accuracy in data reflected in the Student Information System (SIS) such as tuition charges, course fees and other financial transactions. Report discrepancies to management for resolution and to maintain account integrity for the College and District. Assists in preparation and calculation of financial aid refunds and disbursements and employee disbursements; monitors the Maricopa Student Refund Program files and logs from various reporting systems such as ERS, SIS and NelNet.

15% - Coordinates third party process for billing and invoices. Reconciles discrepancies and provide resolutions accordingly.

10% - Performs other duties commensurate to the level of position to ensure efficient operations of the office to meet customer service and reporting requirements; reviews, approves, and maintains on campus petty cash.

Minimum Qualifications

High School Diploma or GED and two (2) years of related finance or accounting support experience such as processing financial transactions.
  • There is no substitution or equivalency allowable for the High School Diploma or GED.


Desired Qualifications

1. College degree in Accounting, Business Administration, or related field with coursework in accounting and/or business

2. One (1) or more years of experience working in a business services office or a related field

3. Experience working with PeopleSoft Student Information System (SIS)

4. Experience in financial record keeping, account analysis, and/or preparing account reports

5. Experience working with spreadsheets for reconciliation, word processing and presentation software such as MS Office Suite

6. Experience working effectively in an environment subject to tight deadlines and quickly changing priorities

Special Working Conditions

  • May be required to travel or be assigned to all GateWay locations
  • May require some evenings or weekends
  • May require prolonged periods of viewing a computer screen
  • Must be in good standing and not be in default of a student loan, or in overpayment of student grant assistance
  • May be required to lift or carry up to #25 lbs
  • MCCCD does not sponsor individuals for any type of work visas
