Job Description

GENERAL PURPOSE
The Nursing Home Storeroom Technician oversees all storeroom operations at Gracedale Nursing Home. This position processes purchases, receives, and stores a variety of supplies, including medical and nursing, operations equipment and materials, office equipment and supplies, perishable food items, and other materials for use in the facility. Work includes purchasing, receiving, and inventory control duties which require specialized knowledge above that of a general clerical position.

SUPERVISION RECEIVED
This position reports directly to the Nursing Home Materials Manager.

SUPERVISION EXERCISED
This position is not responsible for the supervision of other employees, but does oversee the work of lower level positions engaged in physically receiving, storing, and issuing storeroom supplies and assisting with recordkeeping and processing functions.

ESSENTIAL DUTIES OF THE POSITION
Receives all deliveries of goods for Gracedale Nursing Home. Verifies accuracy of deliveries by checking packing slips against actual items received. Ensures that correct items are delivered by comparing to list of items ordered. Contacts vendors to resolve discrepancies and coordinates return and/or replacement of items as necessary.

Stores delivered items in appropriate location or directs others to store supplies in designated areas. Assists Dietary in dating, rotating, and storing all food products.

Oversees issuance of supplies to all units according to established schedule. Prepares items for distribution, verifying that specialty items are in working order. Contacts Operations and Maintenance to request repair of items and/or equipment as needed. Distributes supplies to all units and records all such issuances to ensure effective inventory control.

Enters deliveries into manual and/or computer based inventory system.

Maintains inventory levels of all items, reviewing inventory records to identify automatic reorders due to reaching minimum stock levels. Determines purchasing reorder method depending on nature of item and established purchasing criteria. Processes, or refers to higher-level personnel for processing, local or centralized purchase orders, ongoing requirements, contracts, or verbal orders to established vendors. Answers questions and inquiries from vendors and/or users about the status of specific purchases. Tracks status of orders and/or resolution of problems. As directed, provides information for the development of specifications and formal bidding documents, maintaining records of all activities and reports on same.

Receives requests from departments for special items and makes request to Nursing Home Materials Manager. Upon approval, purchases items as needed.

Processes packing slips and purchase orders prior to forwarding to the Gracedale Business Office. Communicates with Business Office associates to answer questions and resolve any discrepancies.

Establishes and maintains files on alphabetical, chronological, numerical, or other basis. Retrieves requested materials from files. Signs, date-stamps, or otherwise identifies and/or controls files.

Assumes responsibility for all functions associated with assigned area of specialization. Manages projects and deadlines associated with these areas as assigned and takes independent action to complete all required tasks.

Answers telephone and receives visitors to office. Provides exceptional customer service by effectively communicating with visitors by telephone, email, or in person. Adequately resolve visitors' issues, or directs visitors to appropriate staff able to provide assistance.

Coordinates and communicates with outside agencies such as vendors, as well as other County departments.

Composes correspondence using Microsoft Office and Outlook, or any other necessary applications.

Participates in cross-training and mentoring as necessary in order to develop areas of specialization or assigned function area.

Assists in on-going employee training relative to all systems utilized by the Gracedale Business Office.

REQUIRED MINIMUM QUALIFICATIONS

EDUCATION & EXPERIENCE- Completion of a high school, or general equivalency, diploma;AND

At least two (2) years of general clerical work experience, preferably involving purchasing and inventory control.

OTHER REQUIREMENTS- Applicants must be fully vaccinated against COVID-19, and present valid proof of vaccinated status, in order to be eligible for hire at Gracedale Nursing Home. According to the Center for Disease Control (CDC), people are considered fully vaccinated two (2) weeks after their second dose in a 2-dose series (such as Pfizer or Moderna vaccines), or two (2) weeks after a single-dose vaccine (such as Johnson & Johnson's Janssen vaccine).

Upon hire employee must have a drug screening and COVID-19 testing. Employees may also be periodically tested for COVID-19 as required or recommended. In addition, Gracedale Nursing Home will follow The Centers for Medicare & Medicaid Services (CMS) requirements with regard to booster(s) needed for workers in health care settings.

KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of methods and techniques commonly employed in purchasing, storing, and controlling inventory of commodities.

Intermediate knowledge of computers and computer software, including Microsoft Office applications. Ability to create formal correspondence in Microsoft Word and to create and maintain spreadsheets in Microsoft Excel.

Excellent math skills, including addition, subtraction, multiplication, division, and working with fractions.

Extremely high level of attention to detail and analytical ability.

Ability to learn specific commodities, vendors, and suppliers applicable to an inpatient nursing facility, hospital, or similar institution.

Ability to learn to utilize the necessary software specific to the Gracedale Business Office.

Ability to establish and maintain effective working relationships with associates, vendors, and suppliers.

Ability to communicate effectively both verbally and in writing.

Ability to oversee the work of a lower level position engaged in receiving, storing, and issuing supplies and materials.

TOOLS AND EQUIPMENT
Telephone, personal computer (including word processing and spreadsheet software), calculator, fax machine, copy machine, and paper shredder. Pallet jack, motorized jack, hand truck, barrel buggy, and various hand tools.

PHYSICAL DEMANDS
While performing the duties of this job, the employee is frequently required to walk, sit, talk, or hear.

The employee must frequently lift and/or move up to one hundred (100) pounds, and pull skids of goods that may weigh up to one (1) ton.

WORK ENVIRONMENT
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.

While performing the duties of this job, the employee divides his/her time between office, supply room, or warehouse and loading/receiving areas. The employee will be exposed to extreme heat and cold due to exposure to weather conditions at the loading dock and/or receiving areas, and working in storerooms, refrigerators, and freezers.

The noise level in the work environment is usually quiet while in the office, moderately loud in supply room areas, and moderately to abnormally loud in loading dock or receiving areas.
