The Research Grants Office at MHIR handles all research proposal submissions, subawards, award negotiation, and progress reports, and works closely with Grants Accounting, Principal Investigators (PI), and the Clinical Trials Office in post-award management. The office has recently implemented Cayuse Sponsored Programs to manage grant proposals and awards.

We are a small team of five people and work together to ensure we provide outstanding service to all our investigators throughout the project lifecycle. This team helps with the planning, implementation, and evaluation of grant proposals and provides guidance on industry sponsored agreements, material transfer agreements, and contract service agreements. Grants Administrators (GA) manage the process of review, triage and timely submission of all research grants and contracts, negotiate and review grants and/or contracts for appropriateness, and ensure that awardees are in compliance with established guidelines and administrative practices. This position requires knowledge and skill in applying analytical and evaluative techniques to the identification and resolution of grants administration issues and applicable knowledge of laws, regulations, agency policy, precedent cases, and other requirements that affect grant and contract program administration.

We are recruiting a Grants Administrator/Senior GA depending on qualifications and experience to work primarily with PIs on proposals (pre-award) and progress reports, and to assist in other areas as the need arises. The position incorporates elements of both departmental and central sponsored programs administration, which makes it exciting, challenging, and especially rewarding. This role will work with the PI from start to finish on all aspects of proposal preparation - there is no separate departmental administrator working with the PI to figure out the budget, necessary components - and there is no central office that will submit the proposal as one of many in a long queue. The incumbent will come to know the PIs and interact directly with our sponsors.

A fully remote (except from Alaska, California, Colorado, Nevada, Puerto Rico, or Washington D.C.) or flexible on-site/off-site work schedule from our Scarborough, ME offices is available for this position.

Portland is a small but dynamic city and is regularly cited on the best places to live lists. It is also a renowned food destination with a wealth of impressive restaurants, as well as two James Beard 2024 award winners. Portland's lively working waterfront sees ferries, lobster boats, whale watch vessels, yachts, sailboats, container ships, and oil tankers. Views from the city's Eastern Promenade out over Casco Bay are spectacular, and on clear days you can see New Hampshire's Mt. Washington from the Western Promenade, as well as magnificent sunsets over the Fore River and White Mountains.

Required Minimum Knowledge, Skills, and Abilities (KSAs)

1. Education: Bachelor's Degree preferred.
2. License/Certifications: N/A
3. Experience: Three years of progressive experience in grant writing and grant management in a health or health related field with demonstrated ability to coordinate large grants and/or contracts from varied sources required.
